Investment reporting is often judged on how it looks, when it should be judged on how it performs.

For COOs and operational leaders, reporting is not simply a design exercise. It is a data management exercise, a production process, a control mechanism, and increasingly, a source of competitive advantage. Whether you are producing factsheets, client reports, portals or pitch books, the question is the same: is your reporting function efficient, scalable, and under control?

That question cannot be impartially answered through opinion. It requires some form of measurement so you can benchmark and improve.

1. Time to publish (T+X)

How long does it take to move from data availability to client-ready output?
Many firms still operate at T+20 or beyond. The most efficient are operating closer to T+5 or faster. The difference is not just operational. It directly impacts the relevance of the data being delivered.
Shorter cycles mean fresher data, faster response to market events, and a stronger client experience across all reporting outputs.

2. Production cycle time

Closely related, but more granular.

How long does it take to complete a full reporting cycle, from initial data readiness, to ingestion, through to final sign-off and distribution?

  • This highlights where time is really being spent:
  • Data collection
  • Data validation and sign-off
  • Content assembly and report production
  • Review and approval

It is often not the production itself that causes delay, but everything around it. Understanding this breakdown provides a clear picture of where there is opportunity for improvement.

3. Error rate / correction frequency

How often are reports amended post-publication?

Errors in investment reporting are not just operational inconveniences. They carry reputational and regulatory risk. As Factbook has consistently observed, once data integrity is questioned, confidence quickly follows.

A high correction rate is usually a symptom of:

  • Manual processes
  • Multiple data sources
  • Weak validation controls

This metric is a direct proxy for operational risk.

4. Data source fragmentation

How many data sources feed into your reporting process? And more importantly: how many of them are reconciled manually?

Fragmentation increases:

  • Risk of inconsistency

The more fragmented the data landscape, the harder it is to achieve a single, reliable version of the truth.

5. Manual touchpoints per report

How many times does a report, and perhaps more importantly the data that goes into it, get ‘touched’ by human hands before publication?

This includes:

  • Copying and pasting
  • Manual data checks
  • Formatting adjustments
  • Commentary insertion

Each touchpoint introduces both time and risk. As reporting volumes scale across factsheets, client reports and pitch materials, this quickly becomes unsustainable.

6. Approval layers per output

How many approvals are required before a report is released?

Multiple layers are often introduced as a safeguard. In practice, they can indicate a lack of confidence in the process itself.

Well-structured workflows reduce the need for repeated checks. If the data is controlled and the process is transparent, approvals should be streamlined, not multiplied.

7. Report variants and template complexity

How many versions of each report exist?

For example:

  • Different fund types
  • Regional variations
  • Client-specific formats
  • Language variants

Without proper structure, template numbers can grow rapidly, increasing maintenance cost and complexity. As reporting requirements evolve, this becomes a major constraint on scalability.

8. Reuse of data and content

How often is largely the same data recreated across different outputs?

Investment reporting is rarely a single output. The same data appears across:

  • Factsheets
  • Client reports
  • Portals
  • Pitch books

If content is being recreated rather than reused, it introduces inconsistency and inefficiency.

A well-controlled process ensures that data flows from a central source into multiple outputs without duplication of that process or the effort (resource) that drives it.

9. Reporting throughput capacity

How many reports can your team produce without increasing headcount? This is a critical measure of scalability.

Many firms reach a point where growth in clients or mandates begins to strain reporting capacity. The underlying issue is often a process that cannot scale efficiently.

Throughput is not just about volume. It is about the ability to absorb growth without increasing operational risk.

10. On-time delivery rate

What percentage of reports are delivered on schedule? This is one of the simplest metrics, but one of the most telling.

Consistent delays are usually a sign of:

  • Bottlenecks in workflow
  • Data availability issues
  • Over-reliance on manual intervention

For client-facing outputs such as portals and reports, timeliness is not optional. It is expected.

From reporting output to operational control

Individually, each of these metrics provides insight. Together, they tell a much more important story.

They reveal whether reporting is:

  • Scalable or constrained
  • Reliable or dependent on individuals

In many organisations, reporting has evolved over time, often shaped by legacy systems, manual processes and incremental fixes.

A more measured approach
